Quotation Templates for Service Businesses: Examples and Checklist
Structure quotations for consulting, repairs, construction, events, creative work and recurring services with clear scope, pricing and approval.
Introduction
A service quotation should turn a conversation into a proposal the customer can approve without guessing. The best template depends on what drives cost, where scope can change and what evidence will later connect the quote to the job and invoice.
Consulting and professional services
Group work by phase, deliverable, day or hour. State the number of revision rounds, meetings or locations included. Explain what the customer must provide and whether expenses are included.
Repairs and field service
Identify the asset or location, inspection findings and proposed work. Separate parts, labour and call-out charges. If hidden damage may change the price, explain how additional approval will be obtained before work continues.
Construction and installation
Use measurable items, quantities and units. State whether transport, disposal, permits, electrical work or finishing is included. Link payments to clear milestones rather than vague percentages with no trigger.
Events, tours and hospitality
Show dates, venue or route, participant quantity where relevant, included services and booking validity. Make cancellation, rescheduling and deposit rules visible before acceptance.
Creative and agency work
Describe deliverables, formats, usage, production costs, revisions and delivery timing. Separate optional work so the customer can see the base total and alternatives.
Recurring services
State the billing period, service frequency, included allowance, additional rates and review or cancellation terms. Avoid presenting a one-month total as though it were the entire contract value.
Final quotation checklist
Confirm the customer, quote number, issue and valid-until dates, scope, exclusions, timing, currency, tax, total, payment milestones and acceptance route. Once accepted, preserve the quotation and carry its reference into the job card and invoice.
