How to Create a Professional Invoice in Kenya

Create a clear Kenyan invoice with the right business details, KES totals, payment terms and records your customer can act on.

Introduction

A good invoice does more than show a total. It gives the customer enough information to approve the work, route the payment and match the transaction to their records. In Kenya, that often means combining familiar business details with practical payment instructions.

Details to prepare before creating the invoice

Start with the name you trade under, a reachable phone number, email address and physical or postal address where relevant. Add your business registration details and KRA PIN when they apply to the transaction. Record the customer’s correct legal or trading name instead of the nickname used in chat.

Prepare the agreed scope, quantities, rates, currency, tax treatment and due date before opening the generator. This prevents the invoice from becoming a second negotiation.

Use an invoice number you can trace

Choose a consistent sequence such as INV-2026-001. Do not reuse a number after cancelling an invoice; keep the record and issue a new invoice or credit note when correction is required. A searchable number helps both parties refer to the same transaction in email, M-Pesa messages and bank references.

Write line items a customer can approve

Replace vague descriptions such as “services” with recognizable outcomes: “Homepage design and mobile QA” or “Air-conditioner compressor replacement”. Show quantity, unit and rate separately. If tax is included in the displayed price, mark it as inclusive; if it is added afterwards, mark it as exclusive.

Make payment instructions unambiguous

State the due date rather than writing “pay soon”. Include the correct M-Pesa till or paybill, account name, bank details or other approved method. Tell the customer which reference to use. Recheck every digit before sending—the invoice should never make a customer guess where to pay.

Review, send and keep the evidence

Confirm the customer name, arithmetic, currency and due date in the preview. Download the PDF using a useful filename, then send it through the agreed channel. Keep the invoice together with delivery evidence and payment confirmation. Once money is confirmed, issue a receipt rather than changing the original invoice into one.
